We collect only what we need to deliver our services and communicate with you. Here is what that means in practice.

When you use the AI Visibility Snapshot:

• Your name or business name (entered by you)

• What you want to be known for (entered by you)

• An optional competitor name (entered by you)

• Your email address (for delivering your PDF results)

When you book or enquire about a paid service:

• Your name and email address

• Any information you share during the booking process

• Payment information, which is processed securely by our payment provider and not stored by us

Automatically collected data:

• Standard website analytics (pages visited, approximate location, device type) via our hosting and analytics tools

• We do not use advertising tracking or build behavioural profiles

3. How we use your data

We use the data we collect for the following purposes:

• To run the AI Visibility Snapshot and deliver your results as a PDF

• To communicate with you about services you have enquired about or purchased

• To send occasional email updates about AI visibility, if you have consented to this

• To understand how our website is used so we can improve it

We do not sell your data. We do not share it with third parties for marketing purposes.

4. Who we share data with

We use a small number of third-party services to run our business. These services may process your data as part of the service they provide to us:

• Systeme.io Our website platform and email list provider. Stores your email address and name if you subscribe or purchase.

• Payment processor: Processes payment for paid services. We do not store card details.

• AI API providers: The Snapshot tool queries AI systems (including Google Gemini, Grok, DeepSeek, Anthropic Claude, and OpenRouter) with your name and what you want to be known for. These queries are made on an anonymous basis and are subject to each provider’s own data policies.

We share only what each service needs to function. We do not provide any of these services with your email address without your knowledge.

5. Legal basis for processing

Where applicable (including for users in the European Economic Area and UK), we process personal data on the following bases:

• Contract: When you purchase a service, we process your data to deliver it.

• Legitimate interests: Website analytics to understand how the site is used.

• Consent: Email marketing communications. You can withdraw consent at any time by unsubscribing.

6. How long we keep your data

We keep your data for as long as necessary to deliver the service you requested and meet our legal obligations.

• Email subscribers: Until you unsubscribe

• Client records: Up to seven years for financial and legal compliance

• Snapshot results: We do not retain the content of Snapshot queries beyond immediate processing

Website analytics: Typically 26 months, in line with standard analytics retention
